Towing Dispatch Checklist: What Every Dispatcher Should Track
Effective towing dispatch requires tracking dozens of data points per job. Missing even one — a dispatch number, a pickup address, or a COD amount — can cause billing errors, delays, or disputes.
Use this checklist to standardize your dispatch workflow.
Job Intake Checklist
When a call comes in, collect:
- • Customer name and phone number
- • Service type (Tow, Jumpstart, Lockout, Tire Change, Fuel Delivery)
- • Vehicle year, make, model, color, plate number
- • Pickup location (full address, cross street, or GPS coordinates)
- • Drop-off location (for tow jobs)
- • Is this a motor club job? (AAA, Agero, GEICO ERS, etc.)
- • Dispatch number / PO number (motor club jobs)
- • Coverage amount authorized (motor club jobs)
- • Is this an emergency situation?
- • Special notes (access codes, vehicle condition, customer situation)
Driver Assignment Checklist
Before assigning:
- • Identify the closest available driver
- • Verify driver has the right equipment for the job type
- • Assign job and confirm driver acknowledges
- • Provide ETA estimate to customer if applicable
During the Job
Monitor:
- • Driver en route status logged
- • Driver on-location status logged
- • ETA updates communicated
- • Any changes to the job scope noted
Job Completion Checklist
- • Service completed status confirmed
- • COD amount collected (if applicable)
- • Customer signature collected (damage waiver)
- • Drop-off photo taken (tow jobs)
- • Job notes updated with any issues
- • Motor club billing data verified (dispatch #, membership #, final mileage)
End-of-Shift Reconciliation
- • Review all COD jobs — verify cash collected vs expected
- • Flag and document any cash shortages
- • Review any incomplete or disputed jobs
- • Export shift summary for management review
